Outbound pipeline math calculator

This outbound pipeline math calculator works backward from the meetings you want each month to the number of contacts you need to reach. Enter your own funnel rates to see contacts, replies, and meetings needed per month and per week.

How many leads do you need to get one meeting?

Divide 1 by your funnel rates multiplied together. With example rates of a 5% reply rate, 40% of replies positive, 50% of positive replies booking, and 80% of meetings showing, the combined rate is 0.8%. That works out to 125 contacts for each held meeting. Your own rates will give a different answer.

How does the outbound funnel work?

Each stage keeps a share of the one before it. You reach contacts, some reply, some of those replies are positive, some positive replies book a meeting, and some booked meetings happen. The calculator starts from the meetings you want held and divides backward through each stage to find the contacts needed.

  1. Contacts: people you reach by email, phone, or social message.
  2. Replies: contacts multiplied by reply rate.
  3. Positive replies: replies multiplied by positive reply share.
  4. Meetings booked: positive replies multiplied by booking rate.
  5. Meetings held: meetings booked multiplied by show rate.

Why are the default numbers not benchmarks?

Reply and booking rates vary widely by market, list quality, offer, channel, and how a team defines a reply, so no single average fits every plan. The defaults are round numbers picked to make the arithmetic easy to check. Use rates from your own past campaigns, or run a small test first and plug in what you measure.

How do you turn a monthly target into weekly activity?

Divide the monthly contact count by 4.33, the average number of weeks in a month (52 weeks divided by 12 months). The calculator rounds up so the weekly number still covers the monthly target. If you only work weekdays, divide the weekly number by 5 to get a daily figure for your outreach.

The formula

meetings to book = meetings held / show rate

positive replies = meetings to book / booking rate

replies = positive replies / positive reply share

contacts per month = replies / reply rate

contacts per week = contacts per month / (52 / 12)

contacts per held meeting = 1 / (reply rate x positive share x booking rate x show rate)

Each result is rounded up to a whole number, because you cannot reach part of a contact or book part of a meeting.

Frequently asked questions

What counts as a positive reply?

A reply that shows interest in a next step, such as asking for times, asking for more detail, or pointing you to the right person. Decide your definition before you start counting so the rate means the same thing from one campaign to the next.

Should my target be meetings booked or meetings held?

Meetings held, because only held meetings create pipeline. The calculator takes your held-meeting target and uses the show rate to work out how many meetings you need to book.

Why does the calculator round up?

You cannot send to part of a contact or book part of a meeting. Rounding up each result keeps the plan large enough to reach the target instead of falling just short.

Does this calculator store my numbers?

No. The math runs in your browser. Your inputs are written into the page address so you can bookmark or share them. Nothing is sent to a server, and the site uses no cookies or trackers.
